Notice Inviting Quotation

1. Name of the work: Supply and installation of branded desktop computers & UPS, as per specification & conditions at Ramakrishna Mission Shilpavidyalaya Private Industrial Training Institute, P.O. Belurmath, Dt. Howrah 711202.

2. Invitation :

Quotations in a sealed envelope are invited by the, The Principal, Ramakrishna Mission Shilpavidyalaya, Private Industrial Training Institute, Belur Math , Howrah-711202for Supply and Installation of two Desktop Computers & two UPS as indicated in the enclosed Annexure-A from the manufacturers/their authorized distributors/authorized dealer/traders etc holding valid licence for supply of Branded Desktop Computers etc.

3. Request for document: Intending bidders can download the NIQ documents from the website www.itirkmbelur.ac.in and www.rkmshilpavidyalaya.ac.in and can also be collected in person from the office of the Ramakrishna Mission Shilpavidyalaya.

4. For Special Attention

1) All Bidders are to note that quotation containing any deviation from the terms, conditions and specifications and other requirements are liable to be rejected. The quotation inviting authority reserves all rights to reject any or all quotations without assigning any reason. The Bidder has to supply all the items as per the specification given by Authority.

2) The procurement of the above items is restricted by a budgeted amount as also its specification. The vendor can quote for both the  specifications together  – one for the given specification as per Annexure-A of this NIQ, and another for a higher specification. But preference will be given by us to quotations received for the actual specification of the Annexure–A. If no such quotation is available for our given specification as per Annexure-A, then the quotation for the nearest higher specifications may be considered by us. However, if a quotation for a higher configuration is received at a lower price (than that of a lower configuration) then the higher configuration may be given preference, but subject to our budgetary limits and other technical considerations. The decision of the Purchase Committee in this regard shall be final.

5. Submission of Quotation

All quotations must be submitted in the office of the Principal. Quotation will be opened in presence of intending bidders or their authorized representatives if any.

6. Documents to be submitted with quotation

Certificates: Copies of PAN Card, Professional Tax Registration, GST registration

Supplier Details: Copy of valid current TRADE Licence, Valid Authorization of Distributorship / Dealership from Manufacturer

8. Delivery

Delivery of the consignment is to be made at the consignee’s place within the stipulated date as will be mentioned in the purchase order and the same has to be installed there as the case may be. Schedule of Delivery including Installation shall be 15 days from the Date of issue of Purchase Order and no further extension of the delivery date shall be allowed.

9. ELIGIBILITY CRITERIA:

Offers for Desktop Computer with UPS will be accepted only from reputed manufacturers or their authorized distributors / authorized dealers/ traders in the field under the category of Desktop/Laptop/Printer etc. owning valid license for manufacturing / supplying /trading the same copy of which must be attached with the quotation.

10. PRICE

1. All bidder prices shall be quoted for delivery up to the consignee’s point inclusive of all charges (taxes, freight, duties etc). The rate should be quoted inclusive of packing and installation. The evaluation of prices will be made based on the total value quoted inclusive of all charges.

2. The prices quoted shall be written both in figures and words. Correction if any shall be made by crossing and initialing with date and re-writing. In case of conflict between the figure’s words latter will prevail.

3. Where there is a discrepancy between the unit and the line item total resulting from multiplying the unit rate by the quantity, the unit rate will prevail.

4. The rates quoted by the Bidder shall be valid for at least one month from the date of opening of the quotation and shall not be subject to adjustment on any account. Each Bidder shall submit one quotation only. The prices shall be quoted in Indian Rupees only.

11. ACCEPTANCE OF INSPECTION / QUALITY ASSURANCE

The test certificate in original from the manufacturer should be submitted along with the consignment.

12. PAYMENT

(a) No additional charges will be paid other than the quoted price.

(b) 100% after delivery and acceptance of consignment by the purchaser, subject to successful installation.

13. WARRANTY

The Warranty shall be per Annexure-A. The bidder shall remain responsible without cost to buyer for all defects in Desktop/UPS spares in normal use and which have been called to the attention of the successful bidder. Prior to expiry of the warranty period, it will be the responsibility of the bidder to take up the matter with their respective manufacturers for fulfilment of the guarantee provisions .

14. AWARD OF CONTRACT

The purchaser shall award the contract, within the validity period of NIQ, to the bidder who meets the required conditions in all aspects & has offered the lowest evaluated cost. The terms of the accepted offer shall be incorporated in the purchase order.

15. SIGNING OF CONTRACT

  1. At the same time as the Purchaser notifies the successful bidder that its bid has been accepted, the Purchaser will send the bidder the Contract /Agreement Form provided in the bidding documents, incorporating all agreements between the parties.
  2. Within three days of receipt of the Contract Form, the successful bidder shall sign and date the Contract and return it to the Purchaser.
  3. All the equipment shall be suitably packed to prevent damage or deterioration during transit, handling and storage at site till installation. The contractor shall be responsible for any such loss or damage till installation.
